Privacy Policy

KainSaan (“we”) respects your privacy. This policy explains what personal data KainSaan collects, why, who sees it, how long we keep it, and the choices you have, in line with the Philippine Data Privacy Act of 2012 (RA 10173).
1. Data we collect
- Account details: full name, username, email, phone number (optional), bio, profile photo and social media links you choose to add.
- Content you submit: stores, photos, menus, opening hours, reviews, reports and similar information.
- Location: only when you allow it in your browser, when you pin a location on the map, or when you tap Check in at a store. At check-in your location is used once to confirm you are near the store; we keep only the result and a rough distance band, not your exact coordinates.
- Camera and photos: only when you choose to scan a QR code, take or upload a photo.
- Store claim documents: if you claim or contest a store, the documents you upload (for example a government ID, business permit, storefront photo, authorisation letter), your contact number and role.
- Vouchers, points and activity: vouchers you claim and use, points and badges, saved stores, notifications and your notification settings, including whether you agreed to news and offers.
- Store team activity: if you are invited to a store team, your role and a record of your redemptions and sign-ins at that store.
- Technical data: IP address, browser and device type, and basic usage logs. For fraud control we may keep a one-way (hashed) version of IP and device information that cannot be turned back into the original.
- Cookies and similar storage: a login cookie that keeps you signed in, and a service worker and cache that help the app load. They are essential for the Service to work.
2. Why we use it
- To create and manage your account and let you sign in.
- To show nearby stores, and display the stores, photos and reviews you add.
- To run claims, vouchers, check-ins, rewards and store teams, and to check for fraud and abuse.
- To send you notifications you need (for example claim decisions and security alerts), and news and offers only if you agree.
- To keep the Service secure, enforce our Terms and handle reports.
- To respond to your messages and requests, and to understand and improve how the Service works.
We do not sell your personal data.
3. What others can see
- Your username, profile photo, bio, social links, reviews and the stores and photos you add may be visible to other people on KainSaan.
- Your email and phone number are not shown publicly.
- When you show a voucher, the store staff who confirm it see your first name and profile photo and the voucher details, not your email or phone.
- If someone asks to take over a store you own, you see only their first name. Their documents are never shown to you, and your documents are never shown to them.
- Store owners see counts such as check-ins and vouchers used, not who your account is, unless you act as a customer at their store (for example redeem or review).
- Do not add information you do not want shared.
4. Who we share it with
We use service providers to run the Service, such as hosting, file storage, email delivery, maps and notification providers. They may process data only to provide those services and may be located outside the Philippines. We may also disclose data if required by law, a court or a government authority, or to protect our users and the Service, or in a business transfer where the new owner keeps this policy.
5. How long we keep it
- Claim ID document: deleted 30 days after we decide the claim (approved, rejected or cancelled). Other claim documents are deleted 90 days after the decision. We keep a record of the decision, but not the files.
- Check-ins: 12 months. Failed check-in attempts: 90 days. We do not store your exact location.
- Voucher claims and redemptions: 24 months after they finish, for disputes and records.
- Store team activity log: 12 months.
- Notifications: automatically removed after a set time once read.
- Account data: while your account is active and as long as needed for the purposes above or as the law requires. If you delete your account we delete or anonymise your personal data, except what we must keep by law or for a legal claim.
We may keep a document longer if there is a fraud, safety or legal case.
6. Your choices and rights
Under the Data Privacy Act you have the right to:
- be informed about how your data is processed;
- access your personal data;
- correct inaccurate data;
- object to processing or withdraw consent (for example turn off news and offers in your notification settings, or unsubscribe from any email);
- request erasure or blocking of your data;
- data portability, where applicable;
- claim damages where appropriate, and file a complaint with the National Privacy Commission (privacy.gov.ph).
To use these rights, email privacy@kainsaan.example.com. We may ask you to confirm your identity first.
7. Security
We use reasonable organisational, physical and technical measures to protect your data, such as private storage and short-lived links for documents, access limits and logging. No online service is completely secure. Please use a strong password and keep it private. If a breach affecting your data happens, we will inform you and the National Privacy Commission as the law requires.
8. Children
KainSaan is not intended for children. If you believe a child has given us personal data without a parent’s or guardian’s consent, please contact us and we will remove it.
9. Photos and other people’s data in community content
Community photos may show people or places. Please do not upload photos that identify someone without their consent. If a photo shows you or your property and you want it removed, use the Report button or email us and we will review it.
10. Changes to this policy
We may update this policy. The date at the top shows when it last changed. If a change is important, we will tell you in the app.
